Equipment Responsibility Policy

The Equipment Responsibility Policy defines expectations for the proper care, use, and accountability of all equipment owned, rented, or managed by Maryland Productions (MP) and Event Revolution (RV). Company equipment represents a significant financial investment and is critical to safe and successful event execution.

All personnel are expected to treat equipment responsibly and follow all applicable SOPs when handling company assets.

Purpose

  • Protect company-owned and rented equipment from damage or loss.

  • Define responsibility and accountability for equipment use.

  • Ensure equipment is used safely and as intended.

  • Support accurate tracking, maintenance, and lifecycle management.

  • Reduce avoidable repair costs and downtime.

Who This Policy Applies To

This policy applies to:

  • Employees (full-time and part-time)

  • Freelancers and independent contractors

  • Temporary staff and interns

  • Project Managers and Crew Leads

  • Warehouse and repair staff

  • Anyone handling or operating MP/RV equipment

Compliance with this policy is a condition of engagement.

General Responsibilities

All personnel handling equipment must:

  • Follow all equipment-related SOPs.

  • Use equipment only for its intended purpose.

  • Handle equipment carefully during load-in, operation, and strike.

  • Use proper lifting techniques and handling methods.

  • Protect equipment from environmental hazards.

  • Report issues, damage, or malfunctions immediately.

Negligent handling is not acceptable.

Authorized Use

  • Equipment may only be used for authorized jobs or purposes.

  • Personal use of company equipment requires prior approval.

  • Equipment may not be loaned, sub-rented, or transferred without authorization.

  • Unauthorized modifications to equipment are prohibited.

Misuse of equipment may result in disciplinary action.

Care & Handling

  • Equipment must be transported in appropriate cases.

  • Cases must be latched and secured during transport.

  • Equipment must not be dragged, dropped, or thrown.

  • Liquids must be kept away from equipment.

  • Power and data connections must follow SOPs.

Improper handling increases safety risks and damage.

Loss, Damage & Negligence

  • All loss or damage must be reported immediately.

  • Damage caused by normal wear and tear is expected and handled through maintenance.

  • Damage caused by negligence, misuse, or failure to follow SOPs may result in: - Disciplinary action - Financial responsibility, where permitted by law - Removal from future work opportunities

Failure to report damage is a serious violation.

Inspection & Reporting

Personnel are expected to:

  • Inspect equipment before use.

  • Report any pre-existing damage.

  • Stop using equipment that appears unsafe or malfunctioning.

  • Tag damaged equipment Do Not Use when applicable.

Early reporting prevents further damage and safety incidents.

Inventory & Tracking

  • All equipment must be scanned out and in according to SOPs.

  • Barcodes and asset tags must not be removed or altered.

  • Equipment may not leave a job site or warehouse without proper documentation.

  • Missing equipment must be reported immediately.

Untracked equipment is considered lost until reconciled.

Use of Personal Equipment

  • Personal equipment may be used on jobs only with approval.

  • Personal equipment must meet safety and compatibility standards.

  • MP/RV is not responsible for loss or damage to personal equipment unless agreed in writing.

  • Personal equipment must not be misrepresented as company-owned.

Clear boundaries protect both parties.

Responsibilities by Role

Warehouse Staff

  • Prepare and pack equipment according to SOPs.

  • Verify accessories and case contents.

  • Identify and report damaged equipment.

Technicians

  • Use equipment safely on-site.

  • Protect equipment during operation.

  • Report issues promptly.

Project Managers & Crew Leads

  • Ensure equipment is used appropriately.

  • Enforce SOPs and policies.

  • Review damage and loss reports.

Enforcement

Violations of this policy may result in:

  • Verbal or written warnings

  • Removal from a job or site

  • Suspension of work opportunities

  • Termination of employment or contract

  • Financial responsibility where legally permitted

Severity depends on the nature and impact of the violation.

Acknowledgement

All personnel may be required to acknowledge this policy in writing. Failure to read or acknowledge this policy does not exempt individuals from compliance.
