Vehicle & Truck Use Policy

The Vehicle & Truck Use Policy defines the requirements and expectations for operating company-owned, rented, or leased vehicles and trucks for Maryland Productions (MP) and Event Revolution (RV). Because vehicles are used to transport people, equipment, and high-value assets, safe and compliant operation is mandatory at all times.

Only authorized drivers may operate company vehicles.

Purpose

  • Ensure safe operation of vehicles and trucks.

  • Protect personnel, the public, and company assets.

  • Reduce risk of accidents, injuries, and liability.

  • Establish clear rules for authorization, inspection, and use.

  • Ensure compliance with traffic laws and insurance requirements.

Who This Policy Applies To

This policy applies to:

  • Employees

  • Freelancers and independent contractors

  • Project Managers and Crew Leads

  • Warehouse staff

  • Anyone operating or riding in company vehicles

Compliance with this policy is a condition of employment or engagement.

Authorized Drivers

  • Only approved drivers may operate company vehicles.

  • Drivers must: - Hold a valid driver’s license appropriate for the vehicle class - Meet insurance and company requirements - Be approved by management

  • CDL vehicles may only be operated by properly licensed CDL drivers.

Unauthorized driving is strictly prohibited.

Driver Responsibilities

Authorized drivers must:

  • Follow all traffic laws and regulations.

  • Drive defensively and responsibly.

  • Never operate a vehicle while impaired or fatigued.

  • Use seat belts at all times.

  • Secure all passengers and cargo properly.

  • Protect vehicles from unnecessary wear or damage.

Drivers are responsible for the vehicle while it is in their control.

Vehicle Use Guidelines

  • Vehicles may be used only for authorized business purposes.

  • Personal use of company vehicles requires prior approval.

  • Vehicles may not be used for unauthorized transport or towing.

  • Smoking in company vehicles is prohibited.

  • Pets are not allowed unless approved.

Respect company vehicles as shared assets.

Pre-Trip Inspection

Before operating a vehicle:

  • Inspect tires and wheel condition.

  • Check lights, mirrors, and signals.

  • Verify brakes function properly.

  • Check fluid levels if required.

  • Confirm load is properly secured.

  • Verify doors and ramps latch securely.

Do not operate unsafe vehicles.

Loading & Cargo Safety

  • Secure all equipment using straps, e-track, or load bars.

  • Distribute weight evenly.

  • Never exceed vehicle weight limits.

  • Protect equipment from shifting.

  • Ensure ramps and liftgates are operated safely.

Improperly secured loads are a serious safety risk.

Operation & Driving

  • Observe posted speed limits.

  • Adjust driving for weather and road conditions.

  • Allow extra stopping distance when loaded.

  • Avoid aggressive driving.

  • Use spotters when backing or maneuvering in tight spaces.

  • Do not use mobile devices while driving, except hands-free when permitted by law.

Safety outweighs schedule pressure.

Fatigue Management

  • Drivers must be well-rested before operating vehicles.

  • Do not drive when excessively fatigued.

  • Take breaks as needed.

  • Notify management if fatigue becomes a safety concern.

Fatigue-related incidents are preventable.

Fueling & Maintenance

  • Use approved fueling methods.

  • Report low fuel levels promptly.

  • Report maintenance issues immediately.

  • Do not ignore warning lights or unusual noises.

  • Do not attempt unauthorized repairs.

Proper maintenance prevents breakdowns and accidents.

Accidents & Incidents

In the event of an accident or incident:

  1. Ensure safety and call emergency services if needed.

  2. Do not admit fault.

  3. Exchange information as required by law.

  4. Document the incident with photos if safe to do so.

  5. Notify a PM or manager immediately.

  6. Complete required incident reports.

All incidents must be reported, regardless of severity.

Parking & Security

  • Park vehicles in safe, legal locations.

  • Lock vehicles when unattended.

  • Do not leave keys unsecured.

  • Avoid leaving vehicles loaded overnight when possible.

  • Report theft or vandalism immediately.

Vehicle security protects equipment and liability.

Enforcement

Violations of this policy may result in:

  • Loss of driving privileges

  • Removal from jobs involving vehicle operation

  • Disciplinary action

  • Termination of employment or contract

  • Financial responsibility where legally permitted

Serious violations may result in immediate action.

Acknowledgement

All personnel may be required to acknowledge this policy in writing. Failure to read or acknowledge this policy does not exempt individuals from compliance.
